OneCast Studio vs Studio Ninja

Studio Ninja is the friendly Aussie CRM photographers grew up on. OneCast covers the same jobs, quotes and Xero flow, then adds the galleries, video review and client portal Ninja never had.

Loved the first pass — can we brighten the opening scene a touch?
The short version

Studio Ninja earned its place: a simple photography CRM born in Melbourne, with the best native Xero integration in this category and pricing that never scared anyone. It also stops at the paperwork. Galleries, proofing and video live in other tools (they link out to Pic-Time and ShootProof), and since the ImageQuix acquisition in late 2023, user reviews consistently note that development has slowed. OneCast Studio covers the same quotes-jobs-invoices-Xero core and then keeps going: branded portal, galleries with payment-gated delivery, frame-accurate video review and wedding briefs, all Australian-hosted.

Side by side.

What each platform actually ships today. Where Studio Ninja is stronger, we say so.

What a small studio pays.

OneCast Studio
$49 to $199 /mo AUD
Starter $49 covers the CRM ground Ninja does plus galleries and portal. Studio $99 adds 10 clients, 2TB, review and analytics; Studio Pro $199 removes the client cap. GST included.
Studio Ninja
$16 to $40 /mo USD
Pro at $27 (unlimited jobs, workflows) is the realistic tier. Cheaper than OneCast, but you still need a gallery service on top, which usually closes most of the gap.

Vendor pricing from studioninja.co/pricing, July 2026, USD. OneCast prices are AUD and include GST.

Why creators switch to OneCast

Everything after the paperwork
Ninja ends at the invoice. OneCast carries the same project through galleries, video review and payment-gated delivery.
One subscription instead of two or three
Ninja plus Pic-Time plus a review tool is the standard stack it leaves you building. OneCast replaces the stack.
A portal your clients actually see
Timeline, files, quotes, messages and payments in one branded place, not a quote link here and a gallery link there.
Active development
OneCast ships weekly and publishes a public roadmap. Studio Ninja reviews since the acquisition consistently mention slowed development and support.

Where Studio Ninja wins

Credit where it is due. If these are your priorities, Studio Ninja may fit you better today.

Price: Pro at $27 USD is cheaper than any OneCast plan if the CRM core is all you need.
Contract e-signing is built in and mature.
Its Xero integration has years of edge cases handled; ours is newer, though it pushes on send and imports contacts.
Native mobile apps.

Coming from Studio Ninja?

Here is how studios usually move in. Most are done inside an afternoon.

1

Export clients from Studio Ninja (Settings, then Export data), or skip the CSV: if your contacts are in Xero, OneCast pulls them from there directly.

2

Recreate your packages and price list in OneCast; quotes and invoices generate from them.

3

Finish signed jobs in Ninja; point new enquiries at OneCast bookings and quotes.

4

Reconnect Xero to OneCast so new invoices push on send with the right GST treatment.

5

Cancel Ninja when the last legacy job completes.

This is a game changer. All in one platform for Photo and Video creatives, even production agencies! You’ve gotta give this a try!

Common questions.

Is OneCast Xero integration as good as Studio Ninja?

Ninja has had years longer at it and we respect that. OneCast pushes invoices to Xero when you send them, imports contacts, and handles GST and revenue account mapping. If you find an edge case ours misses, we fix fast and say so on the roadmap.

Does OneCast do contracts?

Quote approval acts as timestamped sign-off and studios attach terms to the quote. There is no standalone contract e-signing today; Ninja is stronger there.

Why pay more than Studio Ninja?

Because Ninja needs company: a gallery service and a review tool at minimum. Priced as a stack, most studios land at or above OneCast Studio pricing with three logins instead of one.

Is my data hosted in Australia?

Yes. Database and files live in Sydney (AWS ap-southeast-2) under Australian privacy jurisdiction.

Can I try OneCast while still on Ninja?

Yes. The 14-day Studio trial needs no card, and the live sandbox at onecast.studio/demo lets you poke a full studio before you even sign up.
